This policy explains how Hire Ground Recruitment Ltd (“we”, “us”, “our”) handles the personal data of candidates, clients and visitors to our website. We take your privacy seriously and process your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Hire Ground Recruitment Ltd is a UK recruitment agency placing workers across the construction, courier & delivery and HGV & driving sectors. Candidates & job seekers

  • Your name and contact details (email, phone number, postal address).
  • Your CV, work history, skills and employment preferences.
  • Right-to-work information and documentation (e.g. proof of eligibility to work in the UK).
  • Sector certifications and licences (for example CSCS/CPCS cards, HGV/Class 1 & 2 licences, Driver CPC, tachograph details and references).
  • Any information you choose to give us in messages, calls or application forms.

Clients & employers

  • Your name, job title and business contact details.
  • Your company details and information about the roles you are hiring for.

Website visitors

  • Cookies and similar technologies (see the Cookies section below).
  • Basic analytics data, such as the pages you visit and general device/browser information, used to keep the site working and improve it.

3. Our lawful bases for processing

Under UK GDPR we must have a valid legal reason (a “lawful basis”) to process your personal data. Depending on the situation, we rely on:

  • Consent — for example when you upload your CV or ask us to put you forward for roles. You can withdraw consent at any time.
  • Legitimate interests — to run our recruitment business, match candidates to roles, contact clients about vacancies and keep our records accurate, where doing so does not override your rights.
  • Legal obligation — to meet our legal duties, such as verifying your right to work in the UK and keeping records we are required by law to hold.

4. How we use your data

We use your personal data to provide and improve our recruitment services. In particular, we use it to:

  • Match you to suitable roles and assess your suitability for vacancies.
  • Share your details with prospective employers, with your knowledge, to put you forward for work.
  • Verify your right to work, certifications and references before a placement.
  • Send you service communications about applications, interviews, placements and shifts.
  • Respond to enquiries from candidates and clients.
  • Keep accurate records and meet our legal and regulatory obligations.

5. Who we share your data with

We only share your personal data where it is necessary to provide our services, and we put appropriate safeguards in place. We may share data with:

  • Clients and prospective employers — to put candidates forward for roles. We will let you know before sharing your details.
  • Trusted service providers (processors) — such as our website hosting, IT and email providers (for example our transactional email provider, Resend). These providers may only process your data on our instructions.
  • Regulators and authorities — where we are required to do so by law.

We do not sell your personal data to anyone, and we never share it for unrelated marketing.

When we no longer need your data, we securely delete or anonymise it.
